Job Description:
The Service Coordinator position is responsible for the efficient day to day service operation by overseeing the scheduling and coordination of all field related activity of our service team. This employee plays a vital role as administrative support for this profit center that provides quality sales and services for our HVAC customers. This multi-tasking position requires one to be a team player that works well under pressure. The Service Coordinator reports directly to the Service Manager. ESSENTIAL FUNCTIONS Provide friendly service to customers and company departments while offering enthusiastic guidance and support. Ensures that programs and procedures are in place to deliver exceptional customer and service staff support. Assists with customer relations, dispatch, invoicing, data entry and parts purchasing. Processes work orders and payroll. ADDITIONAL RESPONSIBILITIES • Answer phones and customer inquiries. • Assignment of accounts to service technicians. • Dispatch service technicians according to urgency, ability and location. • Review and process all service work orders. • Provide estimates and repair proposals to customers that are generated from service reports. • Order and coordinate delivery of material/parts for service assignments. • Arranges returns of unused materials/parts to vendors and ensures credit has been issued. • Responsible for monitoring costs on all service agreements to help prevent overspending and ensure profitability goals are being met. • Frequent communication with customers and management team regarding status and quality of service provided to customers. • Keep data and customer records up to date. • Inform service manager of work progress, customer relations, field personnel relations, material administration and other matters affecting service operations. • Advise service manager of customer complaints to expedite resolution ensuring and maintaining long term relationships. Communicate resolution to customer. • Build and maintain rapport and positive working relationships with field and office personnel to resolve problems, exploit opportunities and maximize profits. KNOWLEDGE, SKILLS, AND ABILITIES • Computer literacy including strong proficiency in, Sage 300 CRE MS Word, Excel, Outlook, internet research and other software applications. • Heavy emphasis on organizational skills with attention to detail, written, verbal and interpersonal communication skills. • Ability to effectively manage time and resources or opportunities with little or no supervision. • Ability to work under pressure with minimum supervision. • Demonstrated ability to multi-task. • Must be a team player and self-starter. • Able to perform mathematical calculations. • Able to understand written sentences and paragraphs in work related documents. • Able to use logic and reasoning to identify strengths and weaknesses of solutions and approaches to problems.
